Booking Policy
PLEASE READ OUR BOOKING POLICY CAREFULLY
BY REGISTERING AND BOOKING ON OUR WEBSITE, YOU ACKNOWLEDGE AND ACCEPT THE BOOKING POLICY OF RELAIS MADDALENA
OUR BOOKING POLICY APPLIES ALSO TO ANY RESERVATION MADE THROUGH ONLINE BOOKING SERVICES, TRAVEL AGENTS, OR OTHER INTERMEDIATORS
Hotel address
Relais Maddalena is a 6 bedroom guest house – authorization number 10892 dated 16.09.2010 issued on behalf of Undici&Ventisette S.r.l., and is located in piazza della Maddalena, 6 – IT00186 Rome, on the mezzanine apt. 1 and 2
Payment Schedule
Your booking is confirmed by Relais Maddalena with a unique booking reference number, and is guaranteed by the credit card number that you provide us during the registration
Each booking must be guaranteed with a valid credit card
If invalid credit card details are provided, we retain the faculty to cancel your booking with no further obligation on our side. You remain however subject to our cancellation policy
All booking fees and add-ons shall be paid at check-out
The prepaid rates will be charged in accordance to the promotion plan of your booking, if any promotion applies
The card details are also used in case of no show and late cancellation
Cancellation Policy
We accept cancellations up to 16:00 hrs of the day before the day of arrival. For example, if the day of arrival is October 29, cancellations are accepted up to 16:00 on October 28
If you amend your booking after 16:00 hrs of the day prior to arrival (late cancellation), we will charge a one night amendment fee per room for every booking
If you have not cancelled your booking and do not check in (no-show),

September 1st - November 4th
December 24th - January 6th
Monday before Easter - Easter Monday
April 1st - July 15th
We accept cancellations with no penalties up to three (3) days before the day of arrival

Refund Policy
In the event of rebooking within the cancellation policy limits, any surplus of the balance paid will be refunded
In the event of late cancellation or late rebooking, the refund will be given net of the penalties set by our cancellation policy
Payments and Balances
You agree to pay all the goods and services purchased and / or confirmed through the site, and agree that Relais Maddalena will charge your credit card for any outstanding balances, and for each additional purchase
Add-ons may be purchased through the “Add-ons” section of our website or requested at our concierge
Add-ons are offered under the terms and conditions that are specified in the order description
All orders and minibar will be charged, depending on the type of add-on, at the time of booking, after the order is completed, or at check out – unless they are modified or canceled by the guest in compliance with our terms
If you want to pay these payments with a different credit card than the one provided, or by any other means, please inform Relais Maddalena of these changes through the "special request text box”, or send an email to reserve@relaismaddalena.com
Payments can be made with credit card – Visa, MasterCard, American Express, debit cards, bank transfer, bank check and in cash
If you are a EU resident, payments in cash for each single purchase must be lower than € 2.000,00
We kindly ask you to provide us in advance with all the information necessary to issuing the invoice, including your physical address and tax Id number
Payments are settled at check out
Upon request, we are glad to take advance payments and deposits
Personal Details
You agree to provide accurate, current, and complete information during the registration process and booking process
You are responsible for all information on your credit card
You confirm to be the legitimate owner of the credit card that you will utilize to confirm the purchase or booking
For your increased protection, once at check in you will be asked to exhibit the credit card you used to confirm your booking, and an identity document. If the payment was already made, you will be also asked to sign the receipt for the transaction
The number of your credit card is recorded in encrypted form and cannot be read by our staff until the moment of processing a regular invoice for payment
Relais Maddalena takes appropriate measures to ensure data security and is not responsible for any loss resulting from the improper use of your account
In compliance with current and updated Italian laws about privacy, you grant to the hotel your express consent to collect, use and maintain in our archives all your personal details that are needed in order to process your order
Hotel Rules
Our hotel consists in a small property of only 6 rooms, and we are a small team of only 5 people whom make a great effort every day to keep everything in order, so to offer you the best possible experience when you enter your room. Your cooperation in preserving its beauty is really appreciated
There are few simple rules of sharing and respect that will improve your stay and that of your fellow guests at Relais Maddalena
- please keep the luggage away from the walls, and use the wheels of your trolleys when you are in the corridors
- please make sure that the entrance doors don't slam behind you
- please do not smoke in any area of the hotel
- please handle with care the antiques that you will find in your room
Check-In
The hotel is only authorized to accommodate registered guests
For this purpose, guests are to present their valid national ID card or passport, or any other valid proof of identity to the reception personnel upon arrival
Visitors
All visitors and non-registered guests must sign the welcome book at the reception desk before entering the hotel
Guests may not bring visitors in their room in order to stay overnight without having previously informed the direction of the hotel
The expenses for the stay and the city tax of the unannounced visitors who are eventually hosted at Relais Maddalena shall be paid by the registered guest, in accordance to the current rates and the hotel is authorized to charge his/her credit card
Because there is a prohibition by law to host anybody in a hotel without having first done the registration at check in, failing to comply to such rule by the guest will authorize the hotel to charge a penalty fee of € 200,00 in order to cover the expenses for the late registration with the police offices
Check-In/Check-Out Time
Check in time is every day from 12.00 to 23.00
Check out time is every day until 10.00 am
You can inform us of your arrival and departure time using the “Add Arrival/Departure Time” feature of your online Guest Account , or sending an email
Early Check-In
We are glad to give you access to your room free of charge, provided that the room is ready, starting from 10.00 am
Check-in made between 7.30 am and 10.00 am is available at a charge
The early check-in can be ordered through our website, however in such case the hotel cannot be obliged to fulfill unless the room is ready and available at the moment of the guest’s arrival
Check-Out
Check out time on your agreed departing day is by 10.00 am
The payment for the booking fee and add-ons must be made at check-out time, unless otherwise agreed
In the case in which the guest leaves the room without notice, the hotel will charge the guest’s credit card the full amount of the booking including the add ons
Late Check-Out
Late check outs beyond 10:00 must be requested to the front desk in advance
Guests agree to use their rooms for the booked period and are invited to check-out by 10.00 on the last day of their stay
If a guest fails to do this and did not previously agree with the hotel on a late check out time, the hotel is entitled to bill him/her another day’s stay
In the event that the hotel has already reserved this room beforehand, and the guest fails to heed requests to vacate the room, or if he or she is not present in the hotel, the hotel reserves the right to catalogue the guest’s possessions and to store them in a safe place so that the room can be used by the guest for whom it has been reserved
Luggage Storage
Upon request, the hotel is available to keep the guests' luggage in a locked room
This is a free service, however some charges may apply at the hotel discretion when the guest requires to pick up the luggage after 18.00
The hotel reserves the right to waive the storage service depending on the valuables that the guest declares
Children
All children under 3 years stay free of charge when using existing beds
A baby cot is available upon request, at a small extra charge
Extra Bed Policy
There are not extra beds, or flying beds, available in our property
All rooms are furnished with one large king size bed, except our Junior Suite
Upon request, the Junior Suite can host up to 4 persons
Breakfast
Buffet breakfast is served every morning and is included in the room rate
Breakfast in your room may be arranged at no extra charge; please note that some rooms are not suitable for breakfast
Breakfast on the arrival day is not included in the booking rate
Internet
A high quality ADSL WI-FI internet connection is available in all rooms and its utilization is offered free of charge
The service is offered «as is», without any obligation to the hotel to respond of momentary outages, poor signal or unavailability of the connection
The hotel accepts no liability for the damages that the guest will complain to have suffered because of outages of the connectivity, and no refund or compensation shall be expected in any way
Pets
Pets are not allowed in our hotel
Smoking Policy
Smoking in the rooms and in the public areas is not allowed
The customer is aware that smoking in the hotel will give rise to a penalty fee of € 100.00, as well as to the charge for the damages and the extraordinary cleaning expenses
City Tax
The city tax in the City of Rome is € 6.00 per person per night, for the first 10 nights
Children under 10 years of age are exempted from paying the city tax
The city tax is not included in the room rate and can be paid in cash
